Application stages

Every application in Risenoow sits in one of five stages: New, AI reviewed, In review, Shortlisted or Declined. The stage tells your team where each candidate stands, and three of the stages also send the candidate an email so nobody is left guessing.

Where: Candidates page, candidate record, dashboard pipeline chart

Who can change it: Admins and recruiters with access to the role

Time needed: One click per candidate

The Application pipeline card counts every candidate by stage.

The usual flow

  1. New. The candidate submits. The application lands in your list straight away.
  2. AI reviewed. The AI finishes the written report and the overall match score. This happens on its own.
  3. In review. Someone on your team has looked and is weighing the candidate.
  4. Shortlisted or Declined. Your team makes the decision.

Stages are not locked in order. You can move a candidate to any stage at any time, including back from Declined.

Every stage at a glance

Stage What moves an application here What the candidate sees in their portal Is the candidate emailed?
New The candidate submits. Every application starts here. Submitted, "Application received" They get a confirmation that the application arrived. No stage email.
AI reviewed The AI writes the report and the score. Automatic. Screening complete No. This is an internal step.
In review A team member chooses it from Stage on the candidate record. Under review Yes: their application is with the hiring team.
Shortlisted A team member presses Shortlist or chooses it from Stage. Shortlisted, "You have progressed to the next stage" Yes: good news, the team will be in touch.
Declined A team member presses Decline or chooses it from Stage. A requirement set to Auto decline can also put it here. Not selected Yes: a kind, plain update, then a separate email with a way forward.

Two spellings, one stage

The dashboard writes AI reviewed and In review. The filter chips on the Candidates page write AI Reviewed and In Review. They are the same stages.

When candidates are emailed

Risenoow emails the candidate only when the stage really changes, and only for In review, Shortlisted and Declined. Saving notes on a candidate, or saving the same stage twice, sends nothing. Moving someone to New or AI reviewed never sends an email, because those stages mean nothing to a candidate.

Both quick buttons at the top of a candidate record, Shortlist and Decline, ask you to confirm first and tell you the candidate will be emailed. You can check what was sent under Email activity in the left menu.

Automatic declines from requirements

A requirement question can be set to Flag for review or Auto decline. When a candidate's answer does not meet an Auto decline requirement:

  • the application is still received and stored in full;
  • it moves to Declined, with a line added to the notes saying it was declined automatically because a stated requirement was not met;
  • the candidate record shows a pill such as "1 requirement not met · declined automatically";
  • the candidate is told by email after they submit, never while they are applying.

Nothing is final. A person can open the record and move the candidate to any other stage.

Who sees each stage

  • Admins see every role and every candidate in the workspace.
  • Recruiters work on the roles they create and see those candidates.
  • Candidates never see your stage names or notes. They see the portal wording in the table above, under Applied jobs.

Where the technical interview fits

The technical interview is not a stage. A candidate who has completed one gets a Technical badge beside their stage, and the Technical chip on the Candidates page lists them. The Technical interview tab on the record offers the invitation once a candidate is In review or Shortlisted.

Applying again after a decline

A candidate cannot apply twice to a role while their first application is open. After a decline, they can apply to the same role again once 90 days have passed. Before that, they are told when they may return.

Frequently asked questions

Can I undo a decline in Risenoow?

Yes. Open the candidate record and choose a different stage under Stage and notes, then save. If you move them to In review or Shortlisted, they receive that stage's email.

Why did a candidate move to Declined on their own?

The role has a requirement set to Auto decline and their answer did not meet it. The notes on the record name the requirement that was not met.

Does moving a candidate to AI reviewed email them?

No. Only In review, Shortlisted and Declined send an email, and only when the stage changes.

What does the candidate see when I decline them?

Their portal shows Not selected, and they receive a short, respectful email. A second email from Risenoow offers them a way forward, and their portal offers See your CV match and Set a job alert.
